Roles and Licenses: Who Runs Your Organization and Who Holds a License
Two separate decisions shape a TropeTrainer organization. The first is access: each person is a Member, who practices, or an Administrator, who can manage the organization and everyone in it. The second is licenses: an administrator grants each practice license to a specific member by hand, never automatically, and can move it to a different member at any time. Members stay uncapped no matter how many licenses you hold.
Bring in everyone who reads for your congregation. Add the staff who help run the organization and the leyners who chant for it, and add as many of each as you like. Nothing about the number of licenses you bought limits how many people belong to your organization. Keeping your full roster here is worth doing on its own, because it is the same roster iLeyn and MitzvahManager work from.
Open Manage Member beside a person on your roster and grant their license there. This is the rule to hold on to: a license is never granted automatically. Somebody with administrator access decides who gets one, so a new member joining, or a leyner being added ahead of a busy month, does not consume a license on their own. The Members section shows how many of your licenses are in use, so you can see what is left before you grant the next one.
A license is not tied to the person you first gave it to. Revoke it from one member and grant it to another whenever your reading rotation shifts, and do it as often as you need. A congregation whose leyners take turns through the year can cover far more readers than it holds licenses, simply by moving each license to whoever is preparing now. Revoking one takes nothing else away: the member keeps their place on your roster and their history.
Give most people Member access. They practice, they hold a license when you grant them one, and they change nothing about the organization. Reserve Administrator access for the people you trust to run it, because an administrator manages your members, your settings, your purchases, and the licenses themselves. If someone should be able to grant and move licenses, they need administrator access. If they only need to prepare their reading, leave them as a Member.
